This policy applies to thek9schoolbus.com and to the booking, payment, and communication services we use to run our dog transport service in Brisbane, Queensland.

We keep the information we collect to the minimum needed to run the service. When you book with us or join our mailing list, we may collect:

  • Your name

  • Your pet's name

  • Your email address

  • Your mobile number

  • A handover password (a short code used so the right person collects the right dog at pickup and drop-off)

  • Payment information, collected and processed directly by Square (see Section 3)

2. How We Collect It

We collect information directly from you when you:

  • Make a booking through PixoBooking

  • Make a payment through Square

  • Subscribe to our mailing list or community emails through Mailchimp

  • Contact us directly by email, phone, or through the website

3. Third Parties We Use

We use a small number of trusted platforms to run the service. Each handles a specific part of your information, and each has its own privacy policy governing how they process it:

  • PixoBooking: processes your booking details (name, pet's name, contact details, handover password)

  • Square: processes and stores your payment information. We do not see or store your card details; Square handles this securely on our behalf

  • Mailchimp: stores your email address if you subscribe to our community emails or updates

  • Shopify: hosts our website. Shopify may collect standard technical information (such as browser type and general location) through cookies when you browse the site; see Section 6

We do not sell your personal information to anyone, and we do not share it with third parties beyond those listed above except where required by law.

4. Why We Use Your Information

We use the information we collect to:

  • Create and manage your booking

  • Confirm and verify pickup and drop-off of your pet

  • Process payment for the service

  • Send you service-related communications (booking confirmations, schedule changes, handover passwords)

  • Send you marketing or community updates, where you've subscribed to receive them

  • Improve and operate The K9 School Bus service

5. Marketing Communications

If you subscribe to our mailing list, we'll send occasional community updates and offers via Mailchimp. Every email includes an unsubscribe link, and you can opt out at any time. Unsubscribing from marketing emails won't affect service-related communications tied to an active booking.

6. Cookies

Our website is hosted on Shopify, which uses cookies for standard site functionality and analytics. You can control cookies through your browser settings. Disabling cookies may affect how parts of the website function.

7. Data Security

We take reasonable steps to protect the personal information we hold, including relying on the security measures built into PixoBooking, Square, Mailchimp, and Shopify, all of which are established platforms with their own security and compliance standards. No online system is completely secure, but we don't hold sensitive data like payment details, which limits what's at risk if something goes wrong on our end.

8. How Long We Keep Your Information

We retain booking and contact information for as long as needed to provide the service and meet our record-keeping obligations, and mailing list information for as long as you remain subscribed. You can ask us to delete your information at any time (see Section 9).

9. Your Rights

You can ask us to:

  • Tell you what personal information we hold about you

  • Correct any information that's inaccurate or out of date

  • Delete your information, where we're not required to keep it for legal or operational reasons

10. Changes to This Policy

We may update this policy from time to time as our service or platforms change. The date at the top shows when it was last updated. We'll post any changes on this page.
